Description

The Special Assistant in our International Dubai office will provide personal and professional assistance to the Executive Director's Office by effectively managing schedules and performing a wide variety of confidential, administrative, analytical, strategic support and research duties. Responsibilities: Coordinate schedule, appointments, reservations and travel arrangements Plan, organize and co-ordinate functions and events for the Executive. Support the Executive with the preparation of business presentations and board meeting reports. Gather, analyse and provide insights on industry trends using data for the businesses managed by the Executive. Carry out first level vetting and review of correspondence addressed to the office of the Executive. Prepare a variety of high quality, written agreements, memos, letters, and other documents for the Executive. Design and implement initiatives that enables better efficiency and improved productivity for the Executive’s office. Drive and manage projects as directed by the Executive. Ensure continuous process improvement Manage the budget of the Office of the Executive and ensure that monthly retirements are prepared. Support with other tasks as may be assigned. Requirements The ideal candidate must have seven (7) to ten (10) years’ experience as an Executive Assistant to a C-level Executive. Membership of the Nigerian Institute of Chartered  Secretaries and Administrators (or equivalent in other countries) is an added advantage. Bachelor’s degree or an HND in English or Secretarial Administration or any other relevant discipline. Ability to handle sensitive/confidential information with utmost discretion and diplomacy Critical thinking and problem-solving skills Possesses data analytics, good business writing, excellent research and  communication skills (both verbal and written). Excellent time, schedule management and  organizational skills; must be committed to accuracy and attention to details. Resilient with the ability to adapt quickly to changes in time frames and manage multiple priorities Strong financial analysis skills and proficient in Microsoft Office suit Strong interpersonal skills with high integrity and ethical standards. Good stakeholder management skills and ability to take initiative. Must be eligible to work in Dubai, (documentation, residency status etc.)

The Role We’re seeking a Sr. Executive Assistant & Chief of Staff to support our two Founders based in Dubai. What You’ll Do Calendar Management: Schedule and manage all appointments, meetings, and events, ensuring the Founders are well-prepared and punctual. Meeting Coordination: Organize meetings, prepare agendas, and take minutes when required. Email and Inbox Management: Monitor and triage the Founders’ inboxes and Slack channels daily, prioritize emails, draft correspondence, and handle communications on their behalf. Travel Arrangements: Manage all travel logistics, including booking flights, arranging accommodations, and preparing detailed itineraries. Ensure all travel documents, visas, and requirements are up to date. Stakeholder Liaison: Serve as the primary point of contact for internal and external stakeholders, coordinating with team members, clients, suppliers, and partners. Discretion and professionalism in handling sensitive information. Strong written and verbal communication skills in English; Arabic is a plus. Proficient in Google Workspace and Microsoft Office; experience with project management tools is a plus. Personal Attributes: Proactive and solutions-oriented with a "no task too small" attitude. Comfortable working independently and taking initiative in a startup-to-scale-up environment. High attention to detail and a sense of ownership. Strong interpersonal skills and a collaborative mindset. Adaptable and comfortable with ambiguity during periods of growth and change.
