We are seeking a highly organized and proactive Administrative Assistant with proven experience in Dubai to join our team. The ideal candidate will have at least 2-5 years of hands-on experience in administration, accounting, bookkeeping, and visa processing. The role requires a professional who is detail-oriented, reliable, and capable of managing diverse administrative functions while supporting the day-to-day operations of the company. Candidates must be based in Dubai and available to join immediately. Key Responsibilities: Administrative Tasks: • Manage office correspondence (emails, phone calls, memos, letters). • Maintain and organize filing systems (both electronic and paper). • Handle scheduling, appointments, and meeting coordination. • Manage office supplies inventory and liaise with vendors. • Prepare reports, presentations, and documents as required. • Support HR functions such as employee record-keeping and documentation. • Ensure compliance with company policies and UAE labor laws. Qualifications & Requirements: • Currently based in Dubai with a valid UAE residency. • Minimum 2-5 years of experience in administration, accounting, and visa processing in Dubai. • Strong knowledge of UAE visa and immigration procedures. • Excellent communication skills in English (Arabic is a plus). • Strong organizational and multitasking abilities. • Proficiency in MS Office and accounting software. • Ability to work independently and handle confidential information with integrity. • Available to join immediately. Key Responsibilities: Client Coordination Collect cheques from clients via courier services or through driver coordination. Financial Operations: Maintain accurate records of all cheques, including cheque numbers, deposit dates, and clearance status. Manage the return of security and closed contract repayment cheques to clients. Issue VAT invoices, process refunds, and handle related documentation. Handle collection efforts through calls, emails and manage the relationship with the third party service providers. I am in need of a Personal/Administrative Assistant to do some tasks. Below is list of somethings that are needed. I also own some apartments so you must manage all tasks related to short term rental of my units. Handle paperwork fill outs (for travel visa, insurance, make tickets online etc…) Must have basic Excel knowledge Can handle customer service emails from Airbnb/holiday homes Can do cleaning or manage cleaning for the airbnbs Can make commercial invoices Can travel if need be (all expenses paid) Can do simple research (what visa requirements for a country, what laws are around free zones company set ups) Pick up/drop off items PRO tasks (sort out how to register employees here in UAE) Schedule meetings/staff for the stores Deal with the VAT filings Follow up with staff/people or requests I need done Very basic accounting (find invoices, check if unpaid/paid) Do any other basic tasks that are needed.
