Job Summary: We are seeking a professional, organized and proactive Administrative Assistant to support our team at a dynamic and creative interior design company. The ideal candidate will manage administrative tasks, assist with project coordination and provide day-to-day support to ensure smooth business operations. Key Responsibilities: Answer and direct phone calls and respond to emails. Schedule appointments, meetings and consultations. Maintain and organize files, documents and design portfolios. Prepare quotes, invoices and basic correspondences. Assist with ordering and tracking materials and samples. Coordinate with suppliers, contractors and clients. Update project timelines and assist in managing project schedules. Maintain office supplies. Support social media, marketing and client presentation preparation when needed. Requirements: Proven experience as a secretary, administrative assistant or similar role. Strong organizational and multitasking abilities. Good skills in Microsoft Office (Word, Excel, Outlook). Excellent verbal and written English communication skills. Familiarity with the interior design industry and knowledge of design software (e.g., AutoCAD, SketchUp, Canva) is a plus. Ability to work independently and as part of team. Preferred Qualifications: Associate’s or Bachelor’s degree in Business Administration, Office Management or a related field.
