Job Description – Secretary Company: Westzone Ship Management LLC Location: Sharjah, UAE Position Summary The Secretary will provide administrative and clerical support to ensure smooth day-to-day operations of Westzone Ship Management. This role requires excellent organizational skills, attention to detail, and the ability to handle confidential information in a professional manner. The secretary will act as the central point of communication between management, staff, and external parties. Key Responsibilities • Manage daily office administration, including phone calls, emails, and correspondence. • Prepare, format, and maintain company documents such as contracts, crew lists, visas, and shipping records. • Schedule and coordinate meetings, appointments, and travel arrangements for management and staff. • Maintain filing systems (physical and digital) for easy retrieval of RPSL, crew, and vessel agency documents. • Draft letters, memos, and official communications in English (and assist with translations if required). • Track and update calendars, deadlines, and reminders for license renewals, audits, and compliance submissions. • Coordinate with crew recruitment staff to maintain updated crew databases and personnel files. • Assist with visa processing documentation for UAE, Bahrain, and Saudi Arabia (KSA) as per company activities. • Support HR functions: attendance records, timesheets, and staff leave management. • Handle petty cash, basic bookkeeping entries, and liaise with the accountant for expense reporting. • Provide hospitality support for office visitors and ensure professional front-office representation. Requirements • Bachelor’s degree or diploma in Business Administration / Secretarial Studies (preferred). • Minimum 2–3 years of experience in secretarial or administrative roles (experience in marine/shipping industry is an advantage). • Strong communication skills (verbal & written) in English; knowledge of Arabic/Hindi/Malayalam is a plus. • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and basic office equipment. • Excellent organizational, time management, and multitasking abilities. • Ability to maintain confidentiality and handle sensitive information. • Professional appearance and a positive, service-oriented attitude. Work Schedule & Reporting • Working Hours: 9 AM – 6 PM • Reports to: Managing Director / Operations Manager
