Description

Job duties include managing schedules and correspondence, coordinating with vendors and contractors, assisting with budget tracking and presentations, and helping to source materials and furnishings. Additionally, often handle personal tasks, manage the designer's appointments and errands, and maintain client databases and file systems. Administrative Duties Scheduling and Communication: Manage calendars, schedule meetings with clients and contractors, handle phone calls, and manage professional and personal correspondence. Client Management: Update client databases, take minutes for meetings, and act as a point of contact for vendors and clients. Budget and Finance: Assist with tracking project costs and budgets, and handle bill payments. Document Preparation: Prepare documents for design proposals, create project schedules, and compile budget reports. Creative and Project Support Research and Sourcing: Research design trends, and source and order materials, fabrics, lighting, and furniture from showrooms and vendors. Presentations and Design Boards: Assist in preparing design presentations and creating mood boards or design concept boards. Project Coordination: Coordinate with contractors, movers, and installers to manage project timelines, deliveries, and installations. Site Visits: Collect photographs and measurements at job sites, and accompany the designer on site visits to showrooms and client locations. Personal and Miscellaneous Tasks Errands: Run various errands for the designer, such as online shopping and managing personal appointments. General Support: Provide general support to ensure the efficient day-to-day operations of the designer's office and personal life. Confidentiality: Maintain a high level of discretion and confidentiality regarding client and business matters.

The Role We’re seeking a Sr. Executive Assistant & Chief of Staff to support our two Founders based in Dubai. This is a unique opportunity to become a strategic partner to our visionary leaders and play a critical role in driving the company’s mission forward. As the Sr. Executive Assistant & Chief of Staff, you’ll go beyond traditional administrative duties, immersing yourself in a dynamic environment where your insights and proactivity will directly contribute to the company’s success and the achievements of our global clients. What You’ll Do Calendar Management: Schedule and manage all appointments, meetings, and events, ensuring the Founders are well-prepared and punctual. Meeting Coordination: Organize meetings, prepare agendas, and take minutes when required. Email and Inbox Management: Monitor and triage the Founders’ inboxes and Slack channels daily, prioritize emails, draft correspondence, and handle communications on their behalf. Travel Arrangements: Manage all travel logistics, including booking flights, arranging accommodations, and preparing detailed itineraries. Ensure all travel documents, visas, and requirements are up to date. Stakeholder Liaison: Serve as the primary point of contact for internal and external stakeholders, coordinating with team members, clients, suppliers, and partners. Customer Relations: Assist in managing relationships with key customers, maintaining records of interactions, and ensuring timely follow-ups. Problem-Solving: Strong ability to think on your feet and tackle challenges proactively. Adaptability: Positive, can-do attitude with the ability to handle last-minute changes. Attention to Detail: Meticulous attention to ensure accuracy in all tasks. Communication Skills: Highly proficient in written and verbal English with excellent interpersonal skills.
