Position Summary
The Family Personal Assistant (FPA) will provide comprehensive support to a high-net-worth family, ensuring seamless management of personal, family, and household affairs. The role requires discretion, professionalism, exceptional organizational skills, and the ability to multitask in a dynamic environment.
Things to remember for this role:
• Being accessible during evenings or weekends for urgent matters
• Working on weekends if the need arises
• Travel with the family member/s maybe required
Key Responsibilities
Administrative Support
• Manage complex personal and family calendars, including scheduling appointments, coordinating travel, and organizing events.
• Serve as the primary point of contact for family members, vendors, and service providers.
• Handle correspondence, including emails, phone calls, and mail, ensuring prompt and appropriate responses – (if and when required)
• Prepare and maintain documents, presentations, and reports as needed.
• Conducting thorough research to provide multiple options for any given need (e. g. , service providers, cost-saving measures).
• Manage communications with other staff and external contacts.
• Anticipating problems and presenting potential solutions before they escalate
Travel Coordination
• Arrange domestic and international travel, including flights, accommodations, visas, and ground transportation.
• Create detailed travel itineraries, ensuring all preferences and requirements are met.
• Visa application
Household Management
• Coordinate lease renewal, liaising with the Landlord
• Coordinate property maintenance, repairs, and improvements
• Liaising with contractors and service providers.
• Manage car renewals, car servicing
• Procurement /Ordering of items when required
• Ad hoc drop off and collection of deliveries (when needed)
Financial & Legal Support
• Track and manage personal expenses, ensuring timely payment of bills and accurate record-keeping.
• Liaise with accountants, lawyers, and financial advisors on behalf of the family. (if and when its needed)
• Assist with budgeting and expense reporting as required.
Qualifications
• Must be fluent in English
• Proven experience as a Personal Assistant to high-net-worth individuals or in a similar role.
• Exceptional organizational and time-management skills.
• Ability to maintain the highest level of confidentiality and discretion.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite, scheduling tools, and relevant technology platforms.
• Flexibility to travel and work outside of standard hours when required.
• Knowledge of luxury lifestyle management is an asset.
